We also collect personal information from certain areas of the Websites and Apps when you create a Collab Hub account, submit or list your newsletter, save potential partners, send pitches, sign up for our newsletters, download free resources, participate in our blog or community, or contact us via social media, phone, or email.

- Account and profile details (name, email address, passwordless/magic-link login email, optional profile fields, business and newsletter details, collaboration preferences).

- Content you submit (e.g., listings, pitches, messages, comments, form responses).

- Billing information for Premium features (name, email, billing address; payment details are processed by our payment service provider(s)).

- Scheduling details for meetings or demos.

- Support requests and related information.

Information collected automatically:
We automatically collect certain information about the devices and browsers you use to interact with the Websites/Apps, such as IP address, device identifiers, browser type, pages viewed, referring/exit pages, and usage data collected via cookies, pixels, web beacons, clear gifs, and similar technologies (“cookies and other tracking technologies”). We also log actions you take in your account (e.g., saving partners, sending pitches) to provide and improve the service. Automatically collected information may be linked to the personal information you submit.

Information from third parties:
We may receive information about you from third parties (e.g., payment processors, data partners, referral/affiliate platforms, or public sources) and may combine that information with data we already hold for the purposes set out in this policy.

Use of Data

We use your personal information to:

- Provide, operate, maintain, and improve Collab Hub and related services.

- Process your requests and transactions; provide customer support.

- Match you with potential collaboration partners and personalize recommendations (including using AI/algorithmic processing on the information you provide, your profile, and activity).

- Facilitate pitches, follow-ups, and communications you initiate through the service.

- Send you service notifications, newsletters, and marketing communications (you can unsubscribe at any time).

- Analyze performance and functionality of the Websites/Apps and develop new features.

- Publish your comments in the blog/community where applicable.

- Prevent fraud, enforce our Terms and Conditions, comply with law and reporting requirements, and protect our rights.

Purpose-Based Processing

Newsletter and alerts

Legal basis: Consent. Purpose: send information, offers, and updates. Retention: until you unsubscribe or withdraw consent. You can opt out at any time (unsubscribe link in each message).

Contacting us

Legal basis: Legitimate interests (and Contract where applicable). Purpose: respond to your inquiries. Retention: until your request is resolved and any legal retention periods expire. You may object to future processing related to inquiries; if you do, we may be unable to continue handling your request.

Direct marketing

Legal basis: Consent or Legitimate interests. Purpose: provide information about our services, courses, and products. Retention: until you withdraw consent or object.

Data subject access requests

Legal basis: Legal obligation (to respond) and Legitimate interests/Legal obligation (for documentation). Retention: typically three (3) years after the process ends, or as required by law.

Legal defense and enforcement of our rights

Legal basis: Legitimate interests. Purpose: defend against claims and enforce our rights. Retention: as necessary for these purposes.

Online meetings

We may use online meeting tools. Data processed depends on what you provide during participation. Legal basis: Legitimate interests (effective communication) and Contract (where applicable).

Appointment scheduling

We use Acuity and Simple Business Suite™ for scheduling. Legal basis: Consent (and Legitimate interests). You may be asked to provide contact details and context for your request.

Membership and registration (Collab Hub Free & Premium)

When you register for Collab Hub, we process your name, email, profile, and (for Premium) billing data. Legal basis: Contract (account creation and provision of services) and Legitimate interests (service operation). We retain your data while your account is active and as required by law.

Purchasing digital products & courses

When you order digital products or courses from us (including materials related to Collab Hub or other brands), we process contact and order data, and our payment provider processes payment details. Legal basis: Contract and Legal obligation (tax/recordkeeping).

Blog and community

Content and certain profile data you choose to share may be publicly viewable. Legal basis: Legitimate interests (community operation). Please do not post information you do not wish to make public.

Online Payment, Secure Transmission & Credit Card Information

We use industry-standard encryption (e.g., SSL/TLS). Any credit card information you provide is collected directly by our payment service provider(s) via secure HTTPS and is not stored on our servers. You may need to provide payment details directly to providers (e.g., Stripe, ThriveCart) to authorize payment. Your use of those services is subject to the provider’s privacy notice and terms.

Data Recipients & International Transfers

We may share personal data with:

- Service providers and processors that help us operate Collab Hub and our Websites/Apps (e.g., hosting, analytics, support, email delivery, authentication/2FA, security, scheduling, payment processing, CRM/affiliate systems).

- Third parties as required by law, regulation, legal process, or to protect rights, property, or safety.

- Parties to a corporate transaction (e.g., merger, sale, reorganization), subject to appropriate safeguards.

Data may be transferred and stored in countries outside your residence. Where required, we implement appropriate safeguards for such transfers. By using the Websites/Apps, you consent to cross-border transfers as permitted by law.

Social Networks

The Websites/Apps may allow you to connect your social accounts (e.g., Instagram, Facebook, YouTube) or log in via social credentials. By doing so, you authorize access to information you make available per the social network’s settings. Manage sharing via the social network’s privacy settings. To unlink, adjust the settings within that social platform.

Security

We implement generally accepted technical and organizational measures to protect personal data from loss, misuse, alteration, or destruction. Access is limited to authorized personnel and service providers bound to confidentiality. However, no method of transmission or storage is 100% secure; we cannot guarantee absolute security.

We retain personal data for as long as necessary to fulfill the purposes described in this policy, including maintaining your account, complying with legal obligations, resolving disputes, and enforcing agreements.
